1. Who we are

Team Tools Pro is a software service built for three-day retreat ministries — Tres Dias, Walk to Emmaus, Cursillo, Kairos, and similar communities. It replaces the spreadsheets, paper forms, and email chains that communities have traditionally used to run their weekends.

Team Tools Pro is operated by The Goggin Group, LLC, a limited liability company based in Park Hills, Missouri, United States. In this policy, "we," "our," and "us" mean The Goggin Group, LLC. "You" means whoever is reading it — usually an account holder, a community leader, or a member of a community that uses our software.

2. Two kinds of information, two different roles

This is the most important thing to understand about how Team Tools Pro handles information, so we are putting it first.

Information about your account and your use of our service. When you sign up, pay, log in, or email support, we decide how that information is handled. We are responsible for it directly. Privacy laws call this being a "controller."

Information your community puts into the app. Member directories, team rosters, candidate applications, sponsor records, RSVP lists, budgets, chord charts, song sheets — your community owns all of it. Your community decides what to collect, who can see it, how long to keep it, and when to delete it. We only hold it and process it so the software works. Privacy laws call this being a "processor" or "service provider."

That distinction matters in practice. If you are a member of a community and you want your information corrected or removed, your community's leadership controls that, not us. We will always help, but we act on your community's instruction. See section 13.

3. What we collect

Account information

Your name, email address, community or organization name, your role in that community, and a password. Passwords are stored as a one-way cryptographic hash — we cannot read your password, and neither can anyone who might gain access to our database.

Payment information

Subscription payments are handled by our payment processor. We never see or store your card number. We keep a record of what you paid, when, and the last four digits of the card, which is what our processor returns to us for your receipts.

Community and member information

This is whatever your community chooses to enter. In practice it usually includes member names, email addresses, phone numbers, mailing addresses, church or parish affiliation, weekend number and role history, team assignments, candidate applications, sponsor relationships, and meeting attendance.

It may also include information your community adds in free-text or notes fields. Communities sometimes record dietary needs, mobility needs, or emergency contacts there. We do not require any of it, and we encourage communities to collect only what they genuinely need.

Event and RSVP information

When your community uses the RSVP system for Secuelas, reunions, or other gatherings, we store who was invited, who responded, their response, guest counts, and anything else your community asks for on the RSVP form — meal choices, for example.

Media and worship content

Lyrics slides, song sheets, chord charts, set lists, and any markup or annotations created in the presenter tools or the Music Stand. This content belongs to your community, and your community is responsible for holding the licenses needed to use it. See our Terms of Service on that point — it is a real obligation, not boilerplate.

Budget and financial information

Weekend and community budget figures, expense records, income records, categories, and notes your community enters. This is your community's own financial record-keeping. It is not payment card data and it is not connected to our billing system.

Technical and usage information

When you use the app we automatically record your IP address, browser and device type, pages and features used, timestamps, and error reports. We use this to keep the service running, investigate problems, detect suspicious activity, and understand which features matter.

Support correspondence

If you email us, we keep the email so we can help you and refer back to it later.

4. Religious affiliation and other sensitive information

We want to be direct about this because it is unusual and it matters.

Team Tools Pro exists to serve Christian retreat ministries. By its nature, the information in the app reveals religious affiliation — that someone attended a Tres Dias weekend, belongs to a particular church, or serves on a ministry team. Under European law and a growing number of United States state privacy laws, information revealing religious belief is treated as sensitive and gets stricter handling than an ordinary name and email address.

We treat it accordingly:

  • We never use it for advertising, profiling, or any purpose beyond running the software for your community.
  • We never sell it or share it with advertisers or data brokers. There is no exception to this.
  • We keep each community's data separated from every other community's data at the database level, enforced by the database itself rather than by application code alone.
  • Our own staff access it only when necessary to fix a problem or respond to a support request, and we log that access.

If your community records dietary needs, accessibility needs, or health-related notes in free-text fields, that information may also count as sensitive. We recommend keeping such notes to the minimum your weekend genuinely requires.

5. How we use information

We use information to:

  • Provide, operate, and maintain Team Tools Pro and the Music Stand app
  • Create and manage your account, and authenticate you when you log in
  • Process subscription payments and send receipts
  • Send service messages — password resets, RSVP confirmations, renewal notices, outage notifications, and changes to this policy
  • Respond to your support requests
  • Back up data and restore it if something fails
  • Diagnose errors and improve performance and reliability
  • Understand which features are used so we know where to invest effort
  • Detect and prevent fraud, abuse, and unauthorized access
  • Meet our legal obligations

We do not use your community's member information to train machine learning or artificial intelligence models.

6. What we never do

Stated plainly, so there is no ambiguity:

  • We do not sell your information, or your community's member information, to anyone, for any price.
  • We do not share member information with advertisers, marketers, or data brokers.
  • We do not use member information to target advertising, on our site or anywhere else.
  • We do not contact your community's members for our own marketing purposes.
  • We do not use your community's data to train AI models.

7. Who we share information with

We share information only with companies that help us run the service, and only as much as they need. Each is bound by contract to protect it and to use it only for the work we hire them to do.

Service providers we rely on
Provider What they do What they handle
Supabase Database and application backend All application data, encrypted at rest
Vercel Website and application hosting Page delivery and server logs, including IP addresses
Stripe Payment processing Your name, email, and card details, which go directly to Stripe and never pass through our servers
Resend Email delivery Recipient addresses and the contents of service email we send you
Google Analytics
Meta
Website analytics and advertising measurement Visits to this public marketing website only — never app data or member data. See section 8.

We will update this list when it changes. If your community needs advance notice of a change in providers, email us and we will add you to that list.

We may also disclose information when the law requires it — a valid subpoena, court order, or legal process — or when we need to protect someone's safety or defend our legal rights. If we receive a legal demand for your community's data, we will tell you unless we are legally prohibited from doing so.

If Team Tools Pro is ever sold or merges with another company, your information may transfer as part of that transaction. We would notify you beforehand, and the buyer would be bound by this policy or one at least as protective.

8. Cookies, analytics, and advertising tools

There is an important line to draw here.

Inside the app (app.teamtoolspro.com) we use only the cookies needed to keep you logged in and keep your session secure. No advertising trackers run inside the app. None.

On this public marketing website (teamtoolspro.com) we use two third-party tools:

  • Google Analytics — tells us how many people visit, which pages they read, and roughly where they come from, so we know whether our explanations are working.
  • Meta Pixel — measures whether our Facebook posts and ads actually bring anyone here.

Both set cookies and both send information to the companies that run them. This happens only on the public website, to visitors browsing our marketing pages. It never touches your community's data.

Some state privacy laws treat sending website visit information to an advertising company as "sharing" or as "targeted advertising," which gives you a right to opt out. You can opt out in any of these ways:

  • Use the button below. It switches both tools off on this device immediately. No account, no email, no form.
  • Turn on your browser's Global Privacy Control signal. We honor it automatically — if your browser sends it, neither tool loads at all and you need do nothing else.
  • Use your browser settings to block or delete third-party cookies
  • Install the Google Analytics opt-out browser add-on
  • Email us at support@teamtoolspro.com and we will help

We do not currently show a cookie consent banner. Our communities are in the United States, where these tools may be used on an opt-out basis rather than requiring consent up front. If we begin serving communities in the European Economic Area or the United Kingdom, we will add one before we do.

9. The Music Stand iPad app

The Music Stand is our iPad app for worship teams — chord charts, markup, and hands-free page turning with a Bluetooth foot pedal. A few things specific to it:

  • Your charts and markup sync to your community's account so they are available on any device your worship team uses, and so they survive a lost or replaced iPad.
  • Charts are cached on the device so the app works without internet — a practical necessity in church basements and camp facilities. That cached copy is removed when you sign out or delete the app.
  • Bluetooth foot pedals. The app needs Bluetooth permission to receive page-turn signals from your pedal. A pedal sends nothing but button presses. We do not collect anything about your pedal, and the Bluetooth connection is handled entirely by your iPad.
  • We do not track your location, access your contacts, photos, microphone, or camera.
  • No advertising or tracking libraries are built into the app.

Apple collects its own information when you download the app, governed by Apple's privacy policy rather than ours. If you bought a subscription through Apple, Apple handles that payment and we never see your card details.

10. How we protect information

No system is perfectly secure, and anyone who tells you otherwise is selling something. Here is what we actually do:

  • All traffic between your device and our servers is encrypted in transit using TLS.
  • Data is encrypted at rest on our servers.
  • Each community's data is isolated by database-level access rules, so one community's account cannot read another's data even if the application code had a bug.
  • Access inside the app is controlled by role, so a team member sees only what their role allows.
  • Passwords are stored only as one-way hashes.
  • Backups run automatically and are themselves encrypted.
  • Administrative access to production systems is limited to those who need it and is logged.

You have a part in this too. Use a strong, unique password, do not share your login, and tell us immediately at support@teamtoolspro.com if you think an account has been compromised.

11. How long we keep information

  • While your subscription is active: we keep your data so the service works.
  • After a subscription ends: your account enters read-only mode and your data is retained for 90 days, so you can export it or renew without losing anything.
  • After 90 days: we may permanently delete the data. Ask us before the 90 days are up if you need longer.
  • If you ask us to delete sooner: we will, within 30 days, except where we must keep something by law.
  • Billing records: we keep these for seven years because tax law requires it.
  • Backups: deleted data may persist in encrypted backups for up to 90 days before those backups rotate out.

12. Your privacy rights

Depending on where you live, you may have some or all of the following rights. We extend them to everyone, regardless of state or country, because drawing those lines would be tedious and a little insulting.

  • Know what information we hold about you and how we use it
  • Access a copy of it
  • Correct anything inaccurate
  • Delete it
  • Export it in a portable format
  • Opt out of targeted advertising, of any sale of personal information, and of profiling
  • Limit how we use sensitive information
  • Not be discriminated against for exercising any of these rights. Your service will not change and your price will not go up.

To exercise any of them, email support@teamtoolspro.com. We will respond within 45 days. If we need longer, we will tell you why and take no more than 90 days in total. We may need to verify who you are before acting, so that nobody can use these rights to get at someone else's information.

If we say no — how to appeal

If we decline your request, we will tell you why in writing. You can appeal by replying to that message with the word "appeal," or by emailing support@teamtoolspro.com with "Privacy Appeal" in the subject line. A different person than the one who made the original decision will review it, and we will respond within 60 days. If we deny the appeal, we will tell you how to contact your state attorney general.

Authorized agents may submit requests on your behalf with written proof of authorization.

13. If you are a community member, not an account holder

Suppose your name is in Team Tools Pro because you attended a weekend or served on a team, but you do not have a login and you never signed up for anything. What then?

Your information is there because your community put it there. Your community decides what to keep and what to remove — we hold it on their behalf and act on their instruction.

So the fastest route is to contact your community's leadership directly. They can correct or remove your information themselves, immediately.

If you cannot reach them, or they will not help, email us at support@teamtoolspro.com. We will pass your request to them, follow up, and tell you what happened. We will not remove information from a community's records without their involvement, because it is their record — but we will not ignore you either.

14. Children and youth programs

Team Tools Pro is built for adults. Accounts are for people 18 and older, and the three-day movements we primarily serve are adult programs.

Team Tools Pro is not designed for information about minors, and communities must not enter it.

Some movements run youth programs alongside their adult weekends — Chrysalis, in the Emmaus world, is the best-known example. Team Tools Pro does not support youth programs, and your community may not use it to store information about anyone under 18. This is a condition of using the service, set out in our Terms of Service.

The reason is straightforward. Information about minors carries obligations that adult information does not — verifiable parental consent chief among them — and we would rather say plainly that we are not built for it than leave a community exposed because we were vague.

If your community wants to manage a youth program, contact us before entering anything. We will tell you honestly whether we can support it.

We do not knowingly collect information from children under 13. If you believe a child's information has been entered into Team Tools Pro, email support@teamtoolspro.com and we will remove it promptly.

15. If something goes wrong

If we discover a security breach that affects your information, we will notify you by email without unreasonable delay, and in any event within 72 hours of confirming it. We will tell you what happened, what information was involved, what we have done about it, and what we recommend you do. We will notify regulators where the law requires.

We would rather tell you something uncomfortable early than something worse later.

16. Where information is stored

Our servers are in the United States. If you or your community are outside the United States, your information is transferred to and stored in the United States, where privacy laws differ from those in your own country.

If your community is in the European Economic Area, the United Kingdom, or Switzerland, contact us before signing up. We will put the appropriate transfer safeguards in place, including Standard Contractual Clauses and a data processing agreement.

17. Changes to this policy

We will update this policy as the software changes or the law does. When we do, we will change the "Last updated" date at the top.

If a change meaningfully affects your rights or how we handle information, we will email account holders at least 30 days before it takes effect. We will not make a significant change quietly and hope nobody notices.

Earlier versions are available on request.
